'Certainly, Sales daily report is "sober reporting work". Yet, it is also a "very significant activities record" at the same time.' (Daily Sales Report Referring to Customer Master Data)

Corresponding to the above previous post, some people gave me a request that 'want to record "GPS information" as well, so that the value of the record would increase'.

Indeed. For example, suppose a salesperson is working in a style which making a report right after a visit using Smart phone. Then, the "Latitude and longitude information" (GPS information) which has been obtained in the Smart Phone ought to be utilized at that time. That "GPS information" will be very useful information as a record for supporting Salespersons. (GPS: Global Positioning System)

"GPS information" has become very easy to use, today. That is, many browsers now have a "function of acquiring GPS information", it is possible to acquire accurate position information even in a PC, not limited to the smartphone. In fact, this function (called "Geolocation") is the most popular function among the new display format "HTML5" (by W3C).

The following is an improved version of 'Daily Sales report' which I have posted before.

The only change is the addition of two buttons in [Input Hint] below the input item of "Activity Detail" (texterea). However, it is very useful.
  • "A button for indicating Google Maps URL"
  • "A button for pasting the indicated URL to texterea"

Workflow for Creating 'PayPal Button'

Monday, November 26, 2012
'Create a "Buy Now" button of PayPal, please !'

Today, 'Online Sell' is possible even by an individual easily. You can sell any products and services like 'Images' and 'Visiting Services' on your Web site, setting Buy buttons that you create. It only costs commission of '3.4%' + '$0.30 USD'.

Specifically, a seller logs in to "PayPal", goes to "Website Payments Standard" in "Products & Services" menu and selects the button type, then the seller can start making buttons.
  1. Single items
  2. Multiple items
  3. Automated payments

But...
But, however,
It is not a desirable situation in which everyone in the organization can create the "Buy Now" button. Need unification for naming convention of the button (which stored in PayPal), as well as for the setting.

[PayPal button creation flow]

An accommodation booking system. Messages are mechanical though it is not bad at it.
Reminders come in 10 days in advance, and once more the day before. Or a questionnaire email arrives 'the next day after returning home'...

But, what if there was a heartwarming sentence added?
'How was the walk to Kinkakuji on the day you leave? Since light rain was falling, all of us employees had been worried.' Such thoughtfulness would make a tourist happy. This is what we call hospitality.

The following is an example of Reservation Management flow with 'human processing' added.

[Booking flow]
Split is different from Fork.

If it is railroad, trains will be led to either of the tracks at switches. If it is river, water flows into both of branches at forks. When it comes to Business, some cases it splits, some cases it forks.

The following Workflow definition, is for a quick decision on "Emergency" that should be shared in-house, at the time when "the earthquake occurred" or "weather warning issuance", or even "occurrence of serious service failure". Who should do what? What is the matters to be processed concurrently? The accurate information that has been organized as a result should be told quickly.

[Emergency sharing flow]
Japanese software industry has been developed centered on "System Development by consignment". So called "SI business". And now, it is at ebb.

Naturally, if wealthy sponsors (patron) existed, those outsourcing businesses would survive as well as "Housing" or "Clothing". But on the other hand, in the this aspect of economic recession, the efficiency of business process (Workflow) will inevitable. In addition, we will also have to seek better quality of service.

Here we would like to exemplify a Workflow sample concerning the business outsourcing contract for SI company (prime contractor).

[Outsourcing flow]

'Obtaining multiple quotations', it is quite a day-to-day work.
In particular, there is price competition between distributors such as electricity products and moving services . The ordering side, basically makes a contract to trader who gave quote less expensive.
On the other hand however, it is not so simple to compare companies such as consign System Development or Designing, by price. Because they have differences of "level of recognition on order side company situation", and also they have likes and dislikes.

Well honestly,,, I don't think this business template is ready to use, because situation of procurement is different between the companies. Yet, I sincerely would like you to establish a Workflow of "Competitive Quotations and Vendor Selection flow".
At least, it is tremendously significant to record progress from 'multiple Quotations' to 'vendor selection' and 'the final contract'. When you count to ten contracts recorded, you will see various 'problems'.

In the Workflow below, the procurement personnel who collects quotations from vendors, is different to evaluation personnel who selects a vendor by their quotations. You can call it a Workflow definition that prevent fraudulent transactions.

"BPO" stands for Business Process Outsourcing.

To outsource non-core business, such as Affairs, Accounting, Personnel, Welfare Program, or Contact Center. Among them, companies that are outsourcing "Information system" are frequently seen. (Especially, it is called "IT outsourcing".)

e.g.: Claim Management, Data Entry, Data Analysis, Agency Management, Sales Training, Product Testing, etc.

For the trustee side, advances of System Integrators, Printing companies, Consulting companies, etc. are remarkable, as well as "BPO Vendor which specialize in BPO" and "Offshore BPO companies which take advantage of low wages of outside country". The market will still continue to expand. (Incidentally, the Japanese BPO market is already one trillion yen, even though the growth is slower compared to the global market.)

In BPO, "visualization of business process" and "development of operation manual" is very important for both entrust and trustee. However, those are difficult. Now, we assume a scenario that a trustee (outsourcer) will propose business process (interim process) on the step of sales negotiation.

The following is a business process for "business of designing and proposing business process". (complicated...)

[Workflow to design Workflow]

Many businesses will issue a bill on a monthly basis.
Three elements of the Cloud "IaaS. PaaS, SaaS" is not to say, the bill of staffing (business dispatch), Credit sale recovery (many industries such as construction manufacturing industry), etc., in various industries, bills have been issued every month.
Because the Business flow is routine, the effects from optimization and improvement are great.
In the following workflow definition, "Billing flow" for next time is automatically started before finishing current "Billing flow". That is, leaving a copy of itself before it dies. Specifically, "Message Throwing Intermediate Event" (Duplicate) calls up "Message Start Event" (Start Duplication) right after Task [3. Shipping Bill].

<Tasks>
0. New order, 1. Charge Info, 2. Check Charge Info, 3. Shipping Bill, 4. Payment Confirmation

Fault! Report It Through Workflow!

Monday, October 3, 2011
Accuracy and swiftness are indispensable in fault publication. Especially, how the time can be shortened between occurrence and primary announcement. Presentation format of "Fault report" may be different depending on businesses (industries), but to create statement it is almost the same process (Workflow)
  • Web Business (Web Services in wide sense)
  • Data center Business
  • SaaS Business
  • Communication Business
  • Transportation Authority
    etc.
Furthermore, it is apt to forget, it is most important to closely analyze on gathered information of those fault. Not only improve business processes in case of fault occurrence, we want to analysis periodically of support history such as time reported.

<Tasks>
1. Fault Detection Report, 2. Assignment, 3a. Primary Statement, 3b. Primary Report (application), 3c. Primary Report (Infrastructure), 4a. Scheduled Announcement Update,
4b. Scheduled Recovery Report (application), 4c. Scheduled Recovery Report (Infrastructure), 5. Check Primary Statement, 6. Check Recovery Completed

There is no ending at completing production of packaged software or Website creation. Rather, better to say starting working on updating to "Change requests". Sometimes "Bug" will be reported

Following Workflow chart is designed focusing on efficiently status management in "Bug reports" and "Request" (A case all employees are with accounts of Workflow)

<Tasks>
1. Registration Request/failure, 2. Nomination respondents/Prioritization, 3. The primary answer, 3a. Support questions, 4. Final answer, 5. the primary response confirmation, 6. the final answer confirmation

Let's talk about Business Process Outsourcing.
Even if there is a centralized organization responsible for specific tasks within the group companies, may say that is outsourced.

Now a days, not only Information Technology department and Call Center sector, but also General Affairs and Accounting department be outsourced. It's a very rational way of thinking that each company does "specialized"job. But in the real scene, it's not only few cases that you want to be done in-house. We often feel dissatisfied with "speed" or "quality", not "cost"

However, what if company that provides BPO services made full use of BPM system, and successively got closer to what customer demand? What if they could suggest improvement in the monthly meetings, and revise Workflow at the day by using "Workflow diagram"?

To make it simple, we inquire into a Workflow of outsourcing General Affairs to make Business cards.

<Tasks>
1. Business Card Request, 2. Approval, 3a. Undertake, 3b. Q & A, 4. Completion Report, 5. Completion Confirmation

Everyone will try to build "Between Companies (cross-) Workflow", and visualize them.
Want to visualize,
  • Delivery process
  • Inspection process
  • The Payment
  • Confirmation of the Payment
However, using Cross-enterprise Workflow makes it visible even such as " whether the business partner has completed payment verification process". But think well, there is nothing trouble in any way.

Asset inspection contractors, such as elevator maintenance or IT asset management businesses, employ a large number of inspectors and repairmen. One system that could be used is to have each staff look at a list of jobs (inspections, repairs) and voluntarily accept them. This system could use the below workflow, in which the second task is done by each staff.
(This is a spin-off from the post, "Inspection Workflows Should Be Connected to Repair Workflows")

Sometimes we need to prepare workflows that won't be frequently used; i.e., crisis response workflows. Think contingency plan! We need not explain why.

This workflow is for server emergencies.

One way to scare your suppliers is to boast of the relentlessness of your procurement division.

From the buyer's point of view, though, it's better to centralize procurement processing, which can be a frequent task. It's costs effective, too, when simply considering economies of scale. And when it comes to ordering production materials, this directly impacts the company's profit (obviously).
